Event Terms and Conditions

These terms and conditions (“Terms”) govern your registration for and participation in any event organized by AWS Community South Africa NPC or AWS User Group Cape Town (“we”, “us”, or “our”), including meetups, workshops, AWS Community Day, and related activities (each an “Event”). By registering for or attending an Event, you accept these Terms and our Code of Conduct.

1. Registration and Entry

  1. 1.1 You must register for an Event before attending. No registration, no entry — attendees who have not registered will not be admitted.
  2. 1.2 Your registration is personal to you. You may not transfer, lend, or share your registration, badge, or credentials with anyone, and you may only register yourself.
  3. 1.3 You may not bring unregistered guests into an Event or venue.
  4. 1.4 You must check in on arrival and may be asked to provide identification. Venues may apply their own security and access requirements, and you agree to comply with them.
  5. 1.5 Unless an Event listing states otherwise, you must be at least 18 years of age to attend.
  6. 1.6 Registration is subject to availability and may close early. We may deny, limit, or cancel any registration at any time at our sole discretion. Right of admission is reserved at all our Events.

2. Code of Conduct

  1. 2.1 You will comply with our Code of Conduct at all times at Events and in our online channels. Where an Event is affiliated with AWS programs, the AWS Code of Conduct also applies.
  2. 2.2 If we believe you have breached the Code of Conduct or these Terms, we may require you to leave an Event, refuse you entry, and/or prohibit you from attending future Events, and we may remove you from our community platforms.

3. Safety and Security

  1. 3.1 You and your property may be subject to a reasonable search on entry to a venue.
  2. 3.2 We may ask you to leave an Event if your behaviour causes us concern for the safety or security of attendees, organizers, venue hosts, or property. We will involve venue security or law enforcement if we deem it appropriate.
  3. 3.3 If you are denied entry or required to leave, you will not receive a refund of any fees paid.

4. Refreshments, Swag, and Prizes

  1. 4.1 Refreshments, swag, prizes, and other benefits are provided for registered attendees only, are subject to availability, and may be limited per attendee at the organizers’ discretion.
  2. 4.2 You may not attempt to receive benefits you are not entitled to, or obtain benefits for people who are not registered attendees.

5. Your Personal Information (POPIA)

  1. 5.1 We collect the personal information you provide during registration and check-in (such as your name, email address, and company) and process it in accordance with the Protection of Personal Information Act, 2013 (POPIA) and our Privacy Policy.
  2. 5.2 We use this information to administer the Event, manage entry and security, communicate with you about the Event and our community, and meet venue access requirements. We may share your name with venue hosts where required for building access or security.
  3. 5.3 We will only share your contact information with Event sponsors if you opt in to that sharing.
  4. 5.4 We retain registration information only as long as needed for the purposes above. You may request access to, correction of, or deletion of your personal information at staff@awscommunity.co.za.

6. Photography and Recordings

  1. 6.1 Events may be photographed, recorded, or live-streamed. By attending, you grant us a non-exclusive, royalty-free, worldwide license to use, reproduce, and distribute photographs and recordings that include your image or voice, for purposes of promoting our community and Events.
  2. 6.2 If you prefer not to be photographed, please inform an organizer at the Event and we will take reasonable steps to accommodate you.

7. Speaker and Presented Materials

  1. 7.1 If you present or submit materials at an Event (“Your Materials”), you grant us a non-exclusive, royalty-free license to use, reproduce, and distribute Your Materials for community and Event purposes (for example, sharing slides or session recordings).
  2. 7.2 You represent that Your Materials are accurate to the best of your knowledge, that you have the rights needed to grant this license, and that Your Materials do not infringe the rights of any third party.

8. Fees, Changes, and Cancellation

  1. 8.1 Most of our Events are free to attend. Where fees apply, the cancellation and refund policy will be stated on the Event listing.
  2. 8.2 We may change the Event program, speakers, venue, or timing at any time, and may cancel an Event for reasons including venue availability, safety, security, or health grounds. We are not responsible for any costs you incur (such as travel or accommodation) if an Event is changed or cancelled.

9. Assumption of Risk

  1. 9.1 Your attendance and participation in any Event is voluntary. To the maximum extent permitted by law, you assume the risks associated with attending and participating in an Event, including risks associated with the venue, travel, and activities at the Event.

10. Limitation of Liability

PLEASE READ THIS SECTION CAREFULLY — IT LIMITS OUR LIABILITY TO YOU.

  1. 10.1 TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE, OUR ORGANIZERS, VOLUNTEERS, VENUE HOSTS, AND SPONSORS WILL NOT BE LIABLE FOR ANY LOSS, DAMAGE, INJURY, OR THEFT OF OR TO YOU OR YOUR PROPERTY ARISING FROM YOUR ATTENDANCE AT OR PARTICIPATION IN AN EVENT, WHETHER ARISING FROM NEGLIGENCE OR ANY OTHER CAUSE, AND YOU RELEASE US AND THEM FROM ALL SUCH CLAIMS.
  2. 10.2 TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, OR CONSEQUENTIAL DAMAGES, AND OUR TOTAL AGGREGATE LIABILITY IN CONNECTION WITH ANY EVENT WILL NOT EXCEED THE FEES YOU PAID FOR THAT EVENT (OR R100 IF THE EVENT WAS FREE).
  3. 10.3 Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for gross negligence under section 51 of the Consumer Protection Act, 2008, or affects any rights you have under the Consumer Protection Act that cannot be waived.

11. AWS and Amazon

  1. 11.1 AWS Community South Africa is an independent, community-led group. Our Events are not organized, operated, or endorsed by Amazon Web Services, Inc. or its affiliates (“AWS”), unless expressly stated on the Event listing.
  2. 11.2 AWS and its affiliates are not a party to these Terms and, to the maximum extent permitted by law, have no responsibility or liability for our Events. “AWS” is a trademark of Amazon.com, Inc. or its affiliates, used in our community name under the AWS community programs.

12. General

  1. 12.1 If we do not enforce any provision of these Terms, that is not a waiver of our right to enforce it later. All waivers by us must be in writing.
  2. 12.2 If any portion of these Terms is held to be invalid or unenforceable, the remaining portions remain in full force and effect.
  3. 12.3 We are not liable for any failure to perform due to causes beyond our reasonable control, including load-shedding or power outages, telecommunications failures, natural disasters, riots, acts of government, or acts of terrorism or war.
  4. 12.4 We may update these Terms from time to time by posting a revised version on our website or Event listings. The updated Terms apply to Events you attend after they are posted.
  5. 12.5 These Terms and the Code of Conduct are the entire agreement between you and us regarding Event attendance.

13. Governing Law and Disputes

  1. 13.1 The laws of the Republic of South Africa govern these Terms and any dispute arising from them.
  2. 13.2 The parties will first attempt to resolve any dispute through good-faith discussion. Failing that, disputes will be resolved in the courts of the Republic of South Africa with jurisdiction over the matter.
