This manual is published in terms of Section 51 of the Promotion of Access to Information Act, No. 2 of 2000 ("PAIA") and the Protection of Personal Information Act, No. 4 of 2013 ("POPIA").
About This Manual
The purpose of this manual is to inform the public of the types of records held by AWS Community South Africa NPC and the process to follow when requesting access to such records.

Information Officer
The Information Officer of AWS Community South Africa NPC is responsible for dealing with requests for access to information in terms of PAIA. All requests should be directed to:

Guide on How to Use PAIA
The South African Human Rights Commission (SAHRC) has compiled a guide on how to use PAIA. This guide is available from the SAHRC and contains information to assist a person wishing to exercise any right contemplated in PAIA.

Records Held by the Organisation
AWS Community South Africa NPC holds records in the following categories:
- Organisational Records — Registration documents, founding statements, governance records and minutes of meetings.
- Financial Records — Annual financial statements, banking records, invoices and tax records.
- Human Resources Records — Volunteer agreements, contracts and correspondence with staff and volunteers.
- Membership and Community Records — Membership databases, event registrations and attendee information.
- Marketing and Communications — Website content, newsletters, social media records and promotional materials.
- Operational Records — Event planning documents, sponsorship agreements and vendor contracts.
Requesting Access to Records
A request for access to a record must be made on the prescribed form (Form C) available from the SAHRC website or the Department of Justice and Constitutional Development. The request must be submitted to the Information Officer and must include:
- Sufficient detail to identify the record(s) requested
- The form of access required
- The requester's contact details
- If the request is made on behalf of another person, proof of capacity
A request fee and access fee may be payable in terms of PAIA.
Grounds for Refusal
Access to records may be refused on the grounds set out in Chapter 4 of PAIA, including but not limited to:
- Protection of the privacy of a third party
- Protection of commercial information of a third party
- Protection of confidential information of a third party
- Records that are privileged from production in legal proceedings
- Protection of research information of a third party or the organisation
Processing of Personal Information
In terms of POPIA, AWS Community South Africa NPC processes personal information for the following purposes:
- Managing community membership and event registrations
- Communicating with members about events, meetups and community activities
- Processing sponsorship and partnership agreements
- Complying with legal and regulatory obligations
